I’ve been thinking about something that quietly slows a lot of us down: the infamous side spreadsheet!

I get why they exist. They’re comfortable, they’re quick, and sometimes they feel easier than fighting whatever process isn’t fully humming along yet. But every time we create one, we’re basically admitting, “Yep… we’re going to touch this data twice.” And every time we touch data twice, we’re adding risk, rework, and inconsistency without meaning to.

My personal opinion?
If our goal is to work smarter, not harder, then data should be entered once and then flow where it needs to go. Full stop.

I’m curious how others are dealing with this:

Where do “side spreadsheets” still pop up for you?

What typically drives them: gaps in the tool, habits, or just muscle memory from old workflows?

Have you found ways to shift people out of spreadsheet safety nets and back into InEight?

No judgment! We’ve all created a sneaky spreadsheet on the side at some point. I’m just interested in how we can start breaking this habit as a community and get back to one source of truth.

Our company is currently looking to explore the possibility of a Smartsheet integration with InEight.

One of our main challenges is managing and closing out review comments within InEight documents (drawings and technical documents). Both internal teams and external companies often struggle to keep up with comment responses and resolutions directly within InEight.

We would like to explore whether it is possible to integrate InEight with Smartsheet so that all review comments can be extracted into a central Comment Resolution Sheet (CRS) within Smartsheet. This would allow all parties to address and track comments in a more user-friendly format, with updates then feeding back into InEight once actions are completed.

Similarly, we use InEight Forms for managing technical queries. If these could also be integrated into Smartsheet-allowing queries to be managed and responded to in an Excel-style format-we believe it would significantly improve efficiency and speed up close-out.

We feel that a Smartsheet-based workflow would make it easier for users to engage with comments and queries, improve visibility of outstanding actions, and help ensure timely closure, while still maintaining InEight as the single source of record.

We would welcome the opportunity to discuss whether this type of integration is feasible and what options may be available.

Well, I'm ready for another Friday 1% (that may be all I have left in me this week!). Looking at our InEight Document projects, some of our best improvements start as small fixes we make during a project. When something we adjust locally works well, whether it's a clearer label, a streamlined form section, or a better metadata option, we don't leave it behind. We add it to our templates, so the next projects benefit automatically.

This is not about major redesigns. It's about paying attention to the small changes that make work easier, and carrying those forward. Over time this adds up to more efficient documents and smoother workflows across all projects.

How about you? Anyone have an extra 1% idea left to squeeze out this week?

A colleague and I were discussing James Clear's book "Atomic Habits" and how small 1% improvements compounded can have meaningful, long-term impact. It got me thinking about a small improvment we made to managing documents with metadata.

A document is only as useful as our ability to find it. One simple rule of thumb that made a noticiable difference in our projects was tightening the metadata options themselves. We avoid catch all terms like "misc" or "other", and we removed overlapping choices to avoid having two options in a list that could reasonably be used interchangeably.

This small adjustment reduces guesswork, speeds up document uploads and improves accuracy of our searches. Not a major system change, just a 1% improvement that compounds over time.

I’d like to open a series up across all project management functions.
What is one small 1% improvement you’ve made (or seen) in planning, scheduling, cost control, risk, procurement, HSEQ, change management, or stakeholder communication that quietly made things run better over time?

We recently implemented the InEight Document module, while the platform demonstrates strong capabilities compared to other EDMS solutions and one of the main challenges we’ve encountered is the lack of a CC option during an active workflow, as well as the absence of a sub-workflow feature. Additionally, there’s currently no way to create multiple workflow templates for the same document type.

There’s no doubt about the strength and capability of InEight Documents compared to other EDMS systems, but these enhancements would add great value if considered for the product’s future roadmap.

I don’t think we’re nearly as good at tracking information KPIs, even though poor information flow is often behind drives cost and schedule pain. Document metrics that stand out for me as early warning signals are: RFI's per million dollars and RFI aging log - how long RFI's are staying open. Together these say a lot about design quality, scope clarity, and how healthy the information flow really is.

What information management KPIs do you watch as signals of project health or trouble?

A lot of teams say they have “document management,” but in practice it’s usually a folder structure, a naming convention, and a whole lot of important correspondence stuck in Outlook. Once a file or message leaves the system, it can get forwarded, edited, or lost, and suddenly no one’s sure which version is the right one. That’s where InEight Document really shines — not just with structured workflows, but also with the Mail module for project correspondence that doesn’t fit into a transmittal, form workflow, document workflow, or any of the other modules. It keeps everything in one controlled flow instead of scattering information across inboxes. I’m curious: where do you see opportunities on your projects to bring more of that correspondence or document flow into InEight Document?

I’m Joanne Vittiglia, Director of Project Delivery for Document here at InEight, and today I’m spotlighting a feature I find incredibly helpful for increasing review quality and ensuring accuracy across revisions.

Feature: Comparing Documents

Product: InEight Document

Where to Find It: Document Register → Actions (or) PDF Viewer

I love this feature because it makes document reviews so much easier and more accurate. Being able to compare two documents, whether they’re different discipline drawings, for example: HVAC and electrical, or two revisions of the same document, you are now able to see a clear picture of how they align. The overlay view lets you see a side-by-side comparison which helps catch differences quickly and reduces the risk of missing important updates.

Question for the Community: In your experience, where do you think this kind of visual alignment tool could/does make the biggest impact on project accuracy?

As we wrap up our first week of Staff Favorite Features, I’m happy to share one of my top go-tos. I’m Jake Sjuts, Product Manager for Design at InEight, and this capability makes the list for its ability to improve document alignment and provide clearer progress visibility.

Feature: Design / Document Statusing

Product: InEight Design

Where to Find It: Design → Scope Item → Documents

I love this feature because it gives teams a clear and organized way to associate documents from InEight Document directly to scope items. Using the import and auto-mapping tools, documents can be quickly aligned with the right deliverables without manual sorting or guesswork. This helps ensure that scope items always reflect the most current documentation, improves traceability, and supports more accurate progress tracking.

Question for the Community: What’s one improvement that would make document/scope coordination easier on your next project?

Seeking Guidance on Maximizing InEight Suite for Advanced Work Packaging (AWP)

Over the past three years, I have been dedicated to implementing Advanced Work Packaging (AWP) using the InEight Suite. My goal has always been to move our teams away from paper-based processes and fragmented sources of truth, toward a unified, digital platform that empowers our field staff with reliable, real-time information.

While the framework within InEight Suite is robust and promising, I continue to encounter recurring challenges, broken connections, user interface limitations, and usability issues that prevent full adoption and optimal use on every project. Despite incremental improvements, these inefficiencies often lead teams to revert to familiar, less effective methods.

I am reaching out to the community for practical guidance:

Has anyone successfully utilized the full functionality of InEight Suite for AWP?

What strategies or solutions helped overcome the persistent barriers to adoption and integration?

Are there best practices or lessons learned that could help us unlock the system’s full potential for our field teams?

If you have insights or proven approaches, I would greatly appreciate your input. And if you share my experience of seeing untapped potential, please confirm that I’m not alone in this journey. Together, I believe we can create a system that truly works for our people in the field, leveraging technology and AWP methodology to drive efficiency and success.

As we explore the adoption of electronic receipt capture, I’d love to hear how your teams are handling it. While introducing electronic POs already comes with its own set of challenges, the process of receiving against those POs can be even more complex—especially on projects where one person wears multiple hats.

What methods have worked best for you to ensure receipts are captured promptly and accurately? Examples might include:

Using the Daily Plan photo option

Uploading to the Document gallery via mobile

Emailing receipts directly to a purchasing team

Would love to hear what’s working (or not working) for you and your teams!

InEight Support response was "We have reviewed your request regarding the retrieval of upload rules data for reporting purposes. Unfortunately, this feature is not currently available by the standard functionality of our system."

Does anyone have a workaround?
